How we handle the information you share while planning your journey.
Local edition · 14 September 2026Who this notice covers
This notice concerns the Trails of Africa website and travel enquiries addressed to Trails of Africa Tours and Safaris Ltd, P.O. Box 22928-00100, Nairobi, Kenya. Privacy enquiries can be sent to sales@trailsofafrica.co.ke or discussed on +254 735 622 704.
This local edition describes the website as configured for review. Hosting arrangements, retention periods and any live service providers must be confirmed before launch.
Information you provide
Enquiry forms collect your name, email address and message. Depending on the form, you may also provide a phone number, country of residence, preferred travel dates, traveller or delegate count, interests and budget. Package enquiries may record the journey you selected.
Brochure requests record your contact details and whether you chose to receive marketing. If you later make a booking, the team may need additional traveller information for reservations. Please supply that only through the channel agreed with your consultant; the general enquiry form is not intended for passport scans, medical records or payment-card details.
Why information is used
Enquiry information is used to answer questions, prepare itineraries and quotations, and follow up on the request you made. Booking information is used to arrange services you ask us to provide. The website also records submission times, consent choices and limited technical information to protect forms against spam and misuse.
The production privacy notice should specify the applicable basis for each activity, including steps requested before a booking, contractual obligations, legal requirements and consent where appropriate.
Optional brochure and marketing requests
Marketing is optional and is not required to submit an enquiry. The marketing checkbox starts unchecked. Asking for a brochure without choosing marketing does not subscribe you to unrelated offers.
In this local website, requests and consent choices are stored in WordPress. No external mailing-list service is connected and no brochure is automatically delivered. For a future live mailing service, the approved notice must identify the provider and explain withdrawal and unsubscribe arrangements.
Who can receive information
Website enquiries are available to authorised administrators in the WordPress enquiry records. For an actual booking, relevant details may need to be shared with the airlines, accommodation providers, guides, transfer operators or other suppliers arranging your requested services. Your consultant should explain the recipients relevant to your journey.
No external marketing platform receives local form submissions. Any hosting, email, payment, analytics or booking providers used for public launch must be listed or described in the final notice.
International travel and transfers
Travel outside Kenya may involve suppliers in another country. Before sending personal data abroad, the company must identify the recipient and purpose and apply an appropriate lawful transfer arrangement. This local draft does not establish that any particular overseas supplier or transfer safeguard is already in place.
Storage, security and retention
Enquiries are stored as private WordPress records, accessible through authorised administration accounts. The local installation also has a backup taken for this redesign. Email delivery is intercepted in development so test submissions do not contact real recipients.
The production retention schedule must be set by the company according to the purposes of processing and applicable obligations. Records should be kept only as long as needed for those purposes, with deletion and backup handling covered by the approved schedule. No fixed retention period is asserted by this draft.
Your privacy choices and rights
You can ask what personal information is held about you, request access, seek correction of inaccurate information or object to processing as applicable. You may also request deletion where the law provides for it. To exercise a right or withdraw optional marketing consent, contact sales@trailsofafrica.co.ke. The team may need information to verify your identity before acting.
Rights and any limits depend on the applicable law and the circumstances of the request. You may raise a concern with Kenya’s Office of the Data Protection Commissioner. Official guidance is linked below.
Information about children and other travellers
A parent, guardian or authorised lead traveller should provide information needed for a child’s booking. Only provide another person’s details where you have appropriate authority and have explained why the information is needed. Avoid including unnecessary sensitive information in an initial enquiry.
Cookies and browser storage
The website uses WordPress session and security mechanisms. Catalogue preferences and saved-journey flags may be stored in your browser. Read the Cookie Policy for the local configuration and browser controls. Clicking an external link takes you to a separate website with its own privacy practices.
Changes and contact
This notice should be updated whenever the website’s data handling or service providers change. The version shown at the top identifies this local review edition. For questions, contact sales@trailsofafrica.co.ke or +254 735 622 704.
